# 3. How do I update Pupil Data in TrackAble
## TrackAble offers two simple methods for updating pupil information. You can update records manually within the system or prepare updates in a spreadsheet and request an upload. Follow the steps below to choose the method that works best for you.
#### **Method 1: Update Pupil Information Manually**
Use this method if you only need to update a small number of pupils.
### **Steps**
1. Go to **Admin \> Pupils**.
2. Find the pupil you need to update and click the **Edit** button.
3. Make the required changes to their details.
4. Save your updates.
### **If You Need to Add a New Class**
If the pupil is moving to a class that does not yet exist:
1. Go to **Admin \> Lists \> Classes**.
2. Select **Add Class**.
3. Enter the class name.
4. Set **Group Type** to **TUTOR**.
5. Save the new class.
This class will now appear in the pupil’s drop-down options.
#### **Method 2: Update Pupil Records Using a Spreadsheet**
This method is ideal when you need to update several pupils at once.
### **Steps**
1. Go to **Reporting** and run the **Pupil Report** for all pupils.
2. Download the report into **Excel**.
3. Update pupil details in the spreadsheet (e.g., new classes, new pupils).
4. Email the updated spreadsheet to
**support@trackable.org.uk**
Our team will upload the changes for you.
### **Important Rules for Spreadsheet Uploads**
To ensure your data can be uploaded successfully:
- **Do NOT remove, move, or rename any columns.**
- **Do NOT add new columns.**
- Keep all data formats the same (e.g., date formats).
- Every pupil must have a **unique UPN**.
- Only update existing fields—avoid structural changes.
#### **Archiving Pupils Who Have Left**
Pupils who have left your school must be **manually archived**.
