1. How do I add a New Pupil in TrackAble
Adding a new pupil to TrackAble is quick and straightforward. Follow the steps below to enter all the required information and ensure the pupil’s profile is set up correctly.
Before You Start

Your school may have the pupil photo feature turned on or off.
If it is turned on, you will see a photo upload area when adding a pupil.
(To change this, see the Settings article.)
How to Add a New Pupil
1. Open the Add Pupil Screen

Click the Add Pupil button.

You will be taken to the pupil information form.
2. Enter Basic Pupil Details
Complete the form by adding the following information:

First Name
-
Last Name
-
Date of Birth (DD/MM/YYYY)
-
Gender
-
Year Group
-
Key Stage
-
Class
-
Ethnicity
All of these fields are selected from drop-down lists.
If a class, year group, or key stage is missing:
Go to Admin > Lists to add the missing option.

3. Enter the Pupil’s UPN
Every pupil in TrackAble must have a unique UPN.

If you do not have a UPN for a pupil, enter a temporary/dummy number (e.g. A00001, A00002, etc.).

The UPN cannot be duplicated in the system.
You can also select:

Looked After
-
Free School Meals
Tick these options if they apply.
4. Record Disabilities and Learning Needs
If the pupil has any disabilities or learning needs:

Tick the relevant checkboxes in this section.
If a disability or learning need is missing:
Add it in Admin > Lists.

You can also select:

Pupil Premium
-
Spiky Profile
Tick these options if required.
Next Steps
Once all fields are completed, review the information and save the pupil’s profile. Their details will now appear across relevant areas of TrackAble, including assessments, groups, and reporting.
