95. Why am I getting a pupil's not in classes error message in the IEP section?

TrackAble includes enhanced data checks to help schools identify missing, incomplete, or incorrect data. One of these checks ensures that every pupil is assigned to a Tutor Group. If a pupil is not linked to a Tutor Group, this can generate an error message in the IEP feature and prevent access.

Why This Error Occurs

In TrackAble:

  • All pupils must be assigned to a Tutor Group

  • The Tutor Group is linked directly to the pupil’s record in Admin > Pupils

  • Pupils can also belong to multiple Teaching or ad-hoc groups, which are managed separately

Teaching and ad-hoc groups do not replace the requirement for a Tutor Group.

  • Tutor Groups

    • Mandatory for all pupils

    • Linked to the pupil record

    • Required for the IEP feature to function correctly

  • Teaching / Ad-hoc Groups

    • Optional

    • Pupils can belong to multiple groups

    • Managed via Admin > Lists > Classes

Common Cause of the Error

This error usually occurs when:

  • A class intended to be a Tutor Group was created as a Teaching Group

  • The pupil has been added to that group but does not have a Tutor Group assigned

How to Fix the IEP Error Message

Step 1: Check the Group Type

  1. Go to Admin > Lists > Classes

  2. Find the class being used as the Tutor Group

  3. Click Edit next to the class name

Step 2: Update the Group Type

  1. In the Group Type drop-down menu, select Tutor Group

  2. Click Save

What Happens Next

  • The pupil will now be correctly assigned to a Tutor Group

  • The IEP feature will become accessible

  • The error message will no longer appear
