92. How do I view the Audit List?

Every time a user logs in to TrackAble and views or edits a record, the action is automatically recorded in the Audit Trail. This provides schools with a clear and transparent record of system activity to support safeguarding, accountability, and GDPR compliance.

Accessing the Audit Trail

To view the Audit Trail:

  1. Click Admin

  2. Select Audit from the menu on the left-hand side of the screen

The Audit List will then load and display recorded activity.

What the Audit Trail Shows

The Audit Trail allows you to view actions completed by users, including:

  • Staff member

  • Date and time of the action

  • User group

  • Action completed

  • Associated pupil, where applicable

This makes it easy to understand who accessed or updated information and when.

Filtering the Audit List

You can filter the Audit Trail to quickly find specific information by:

  • Date range

  • User group

  • Action completed

  • Pupil

Once filters are applied, the list will update automatically to match your selection.

Sorting the Audit List

After filtering, you can reorder the information by:

  • Clicking the arrows next to the column headings

  • Sorting by description or date, depending on your needs

This helps you review activity in the most useful order.

Archived and Deleted Users in the Audit Trail

  • If a pupil or user has been archived and then deleted, they will appear as Unknown in the Audit Trail

  • If a user has been archived and then permanently deleted, they will appear as User: Deleted

This ensures historical records remain intact while complying with data protection requirements.
