32. How to Change Settings for Other Forms in TrackAble
TrackAble includes several form types—such as Incidents, All About Me, Communication Profiles, Mealtime Plans, Risk Assessments, Behaviour Profiles and Engagements—that can be customised to suit your school’s requirements. These settings work in a similar way to the IEP settings, allowing you to enable or disable fields, rename wording, and control access where required.
Form Types You Can Customise
The following form types support the same customisation options as IEPs:

Risk Assessments

Behaviour Profiles

Engagements
Each form type can be adapted to reflect your school’s processes and the information you need to collect.
1. Switching Form Fields On or Off
Each form contains a set of standard TrackAble fields that you can enable or disable depending on your school’s needs.
To switch fields on or off:

Go to Admin > Settings > Other Forms.

Select the form you wish to customise.

Click the green/white toggle button next to each field.

Green = Field is active
-
White = Field is switched off
-
This allows you to remove fields you don’t use, keeping forms clean and relevant.
2. Renaming Fields (Terminology Settings)
Once fields are switched on, you can rename them so they reflect your school’s language or terminology.
To rename fields:

Go to Admin > Terminology > [Form Type].

Edit the names of any customisable fields.

Click Save.
This helps ensure your forms align with internal policies or SEN/Safeguarding frameworks.
3. Managing Dropdown and Checkbox Options
Like IEPs, other forms may include dropdown lists or checkbox options that you can customise.
To update dropdown or checkbox values:

Open a form for any pupil.

Click Manage next to the dropdown or checkbox.

Add, edit or delete options as required.
TrackAble will prompt you to reassign existing values if you delete an option.
4. Restricting Access (Engagements Only)
The Engagements form type includes an additional setting:
Restrict Access to Allocated Pupils Only
When enabled:

Users can only view Engagement forms for pupils or classes assigned to them in their User Profile.
This helps maintain strict confidentiality, particularly for pastoral or SEND engagement logs.
