27. How to Customise Your School’s IEP Settings in TrackAble
The IEP (Individual Education Plan) module in TrackAble can be fully customised to reflect your school’s requirements. This includes switching fields on or off, adding custom fields, renaming terminology, and arranging the layout of your IEP form. This guide explains how to adjust your IEP settings and tailor the module to suit your processes.
Accessing IEP Settings

Go to Admin > Settings > IEP.

You will see all available standard IEP fields and configuration options.
1. Switching Fields On or Off
TrackAble allows you to disable any standard IEP fields that your school does not use.
To switch off a field:

Click the green/white toggle button.

When the button turns white, the field is switched off and will no longer appear on the IEP form.
Important:
If a field already contains data and is switched off, that data will no longer be visible.
If you switch the field back on, all previously entered data will reappear.
2. Enabling Customisable Fields (12 Available)
The IEP form includes 12 additional custom fields that your school can turn on.
To use these fields:

Switch on the custom fields you require in Admin > Settings > IEP.

Click Save Changes.

Go to Admin > Terminology > IEP to rename each field according to your school’s needs (e.g., “Strategies Used”, “External Agency Notes”).
3. Reordering Fields (Drag and Drop)
Once you have switched fields on or off and renamed your custom fields:

Return to Admin > Settings > IEP.

Click and hold the hand icon next to any field.

Drag and drop fields into your preferred order.

Click Save Changes to apply the layout.
This lets you design an IEP form that matches your school’s workflow.
4. Managing Dropdown and Checkbox Options
If you have created dropdown or checkbox options in the IEP:
To update or delete an option:

Open any pupil’s IEP.

Click Manage next to the dropdown or checkbox field.
You can then:

Update a name:
Type the new text, then click Update Name. -
Delete an entry:
Click Delete, then Confirm.
TrackAble will ask you to move any existing entries to another option.
If you wish to remove a dropdown option without using it again, you may need to create an option such as “None” and assign removed values to it.
5. Additional IEP Settings
Alternate View (Portrait or Landscape)
Switching to Landscape can be helpful if your IEP contains detailed strategies or long text fields that would otherwise span multiple pages.
Restricted Access
When enabled, this setting ensures users can only access IEPs for pupils or classes assigned to them in their User Profile.
