23. Understanding the Pupil Report in TrackAble

The Pupil Report provides a full overview of every piece of information stored in an individual pupil’s record. It is an essential tool for reviewing pupil data, exporting information, and preparing files for bulk updates at the start of the school year.

What the Pupil Report Shows

The Pupil Report includes all data held in TrackAble for each pupil, such as:

  • Personal information

  • Tutor group

  • Year group and key stage

  • UPN

  • Demographic details

  • Disabilities and learning needs

  • Flags such as Pupil Premium, Looked After, or Spiky Profile

This makes it a comprehensive reference for administrators and data managers.

 

Viewing the Pupil Report

You can access the report directly in TrackAble:

  • View it on screen, or

  • Export it to Excel for further review or bulk editing

 

When to Use the Pupil Report for Bulk Updates

At the beginning of each school year, many schools need to:

  • Move pupils into new tutor groups

  • Add new starters

  • Update class assignments

The Pupil Report export is the required format for sending data to TrackAble Support for bulk updates.

 

Step-by-Step: Preparing Your Pupil Data for Bulk Updates

1. Export the Pupil Report

  1. Open the Pupil Report in TrackAble.

  2. Export the report to Excel.

2. Update Tutor Groups

  • In the exported file, update Column M with each pupil’s new Tutor Group.

3. Add New Pupils

  • Scroll to the bottom of the file.

  • Add new pupils following the exact format from the existing rows.

4. Send Your Updated File

  1. Password-protect the Excel file.

  2. Email it to: support@trackable.org.uk

  3. Send the password in a separate email for safeguarding purposes.

Once received, the Support Team will upload the updated data into TrackAble.
