18. How to Add Term Dates in TrackAble
Term dates are essential for TrackAble’s reporting and progression calculations. Setting them up correctly ensures accurate progress tracking across each academic year. This guide walks you through what you need to know and the steps to add term dates successfully.
Before You Begin
TrackAble uses term dates for:
-
Calculating pupil progress
-
Generating reports
-
Understanding where assessment data sits within the academic year
Because of this, term dates must be added correctly and in the right order.
Step-by-Step: Adding Term Dates in TrackAble
1. Open the Terms List
-
Go to Admin > Lists > Terms.
-
Click Add Term.
2. Enter the Term Name
-
Term names must include the word “Term”, e.g.:
-
Autumn Term
-
Spring Term
-
Summer Term
-
If your school uses 6 terms:
Use a clear naming convention such as:
-
Autumn Term 1
-
Autumn Term 2
-
Spring Term 1
-
Spring Term 2
Terms must be added sequentially (Autumn Term first, followed by Spring, then Summer, or Term 1 → Term 2 → Term 3, etc.)
3. Select the Academic Year
From the Academic Year drop-down menu, choose the year that the term belongs to.
4. Add the Start and End Dates
Choosing the Start Date:
-
Click in the Start Date field.
-
If needed, click the month header to change the year.
-
Use the direction arrows to move between years.
-
Select the correct month and day.
Choosing the End Date:
Repeat the same steps to set the End Date.
Important Rules for Term Dates
❗ Term dates cannot overlap
Term dates must follow a clean, chronological order.
❗ Term dates cannot start and end on the same day
There must always be a gap between the end of one term and the start of the next.
❗ Add terms for the entire year
TrackAble works best when all terms for the academic year are added at once.
